Plan work in projects

A project is a set of tasks that serve one goal. There are two kinds:

  • A client’s project, such as “Capital declaration 2025, Israel Israeli”. Every task in it is about that client.
  • A general project, such as “October collection”. Each task in it can have a different client, or none.
  1. Open Projects and choose New project. You can also start from the client’s file: Tasks → New project, and the client is already selected.
  2. Choose a Client, or leave No client (general project).
  3. Choose a Template, such as Capital declaration or Annual report (individual). The tasks it will create are listed below.
  4. Choose a Tax year when the work belongs to one year. The project name is suggested from the template, the year and the client, and you can change it.
  5. Choose who to Assign the tasks to. Every task of the template is assigned to that person, who gets one email about the project.
  6. Choose Create project.

All the template’s tasks are created at once, about the project’s client and filed under its work type. You can change the assignee, date and content of each task separately.

Without a template you get an empty project: enter a name, choose whether it is public or private, add the people who need access, then create sections and tasks.

A public project can be accessed and edited by active members of the office. Check the sharing choice before adding sensitive details.

Open the project and use its available list, board, or calendar view. Assign tasks and set dates inside each task. Move work into the relevant section as it progresses.

A task can link to projects while also appearing in its assignee’s My Tasks. These are views of the same task, not separate copies.

The projects list shows each project’s client, work type, Progress (for example “7 of 10 tasks done” and 70%), how many tasks are Open, how many of those are waiting for the client, and the Assignees. The same projects appear in the client’s file under Tasks.

The project’s Overview also shows the Assignees and the Time spent on all the project’s tasks together.

The project owner can change the client, work type and tax year: the arrow next to the project name → Project details. The change does not alter tasks already in the project.

A shortcut from the task to a client screen

Link to section: A shortcut from the task to a client screen

Tasks created from a template sometimes show a Shortcut, such as Open: Capital declarations. It opens the matching screen of that client, so you can do the step without looking for it. The shortcut is shown only to people who may open the client.

Projects → Project templates shows the office’s templates and what each one creates. Every office starts with Capital declaration, Annual report (individual), Opening a file, Closing a file and New client onboarding.

Owners and admins can:

  • create a New template or edit an existing one: its name, work type and the tasks in working order;
  • give a task a Section, to group tasks under a heading in the project, and a Shortcut to a client screen;
  • Archive a template that is no longer used, and restore it later.

A change to a template applies to projects created from now on. Projects already created from it stay as they are.

Check project membership and visibility. Sharing a link does not itself grant access.
