Organize My Tasks

My Tasks contains tasks assigned to you. It is your personal work list. A shared project can contain tasks assigned to several people.

Next to the title there are three options:

Option What it shows
Assigned to me Tasks you are the assignee of. Here you arrange them in sections and choose between overview, list, board, and calendar.
Created by me Tasks you created that someone else is assigned to, or that have no assignee yet.
Following Other people’s tasks that you were added to as a follower, or were mentioned in and given access to, and did not create.

Each task appears under one of the three only. Created by me and Following are shown as a list grouped by assignee, so you see what each person holds. They include open tasks and tasks completed since the start of the week. The numbers and the filter work in them the same way as in Assigned to me.

In Created by me, the + button next to a colleague’s name starts a new task assigned to that colleague.

  1. Open My Tasks.
  2. Look at the numbers at the top of the page: All open, Today, Overdue, This week, Waiting for client, and Done this week.
  3. Select a number to see only the tasks behind it. Select it again to return to the full list.
  4. Open a task to read its latest description and comments.
  5. Complete the task, mark it as waiting for the client, or update its date and details as appropriate.
Number What it includes
All open Every task not completed yet, with or without a due date.
Today Open tasks that are due today.
Overdue Open tasks whose due date has passed. A task that is waiting for the client is not counted as overdue.
This week Open tasks due from today until the end of the week.
Waiting for client Tasks you marked as waiting for an answer or material from the client.
Done this week Tasks you completed since the start of the week.

Select Filter and choose what to narrow by: client, project, work type, due date, status, priority, or contact. You can combine several filters. Each active filter appears as a chip next to the button, and its X removes it.

To find a task by a word, type in the Search tasks… box next to the button. The search looks at the title, description, client and contact, and assignee.

The filter is saved for you, so the list opens the same way next time, also on another computer. It does not change what your colleagues see.

In the list view you can show the client, work type, due date, status, priority, time spent, and projects. Open the columns menu to show, hide, and reorder them.

Change the task’s assignee if your office’s assignment policy allows it. The task then belongs in the new assignee’s My Tasks. If you created it, it moves to Created by me for you; if not, it stays under Following for as long as you follow it. Adding a follower does not assign the task to that person: they see it under Following.

Check the assignee, the active filters, and completed-task visibility. If one of the numbers at the top is selected, the list shows only its tasks. A task that is no longer assigned to you appears under Created by me or Following, and may also be accessible in its project. Under Created by me and Following, a task completed before the start of the week is no longer shown. If a message there says the list is too long to show in full, only the newest tasks are shown: complete the tasks that are done to see the rest.
