Contract and terms

The contract sets each employee’s working days, standard hours, breaks, overtime and leave. Their month, their balances and their payroll data are worked out from it.

  • Attendance and time → Employees: a table of every employee you see, with Manager, Employment type, Scope, Weekly standard, Worked this month against the standard up to today, and Missing days. An employee with no saved contract yet is marked Default contract. Clicking a row opens their contract.
  • Every employee opens their own contract from My attendance with Open my contract.
  • Owners and admins also find it on the member’s profile (Team → Members), on the Contract and terms tab.

A direct manager sees the contracts of the members they manage, a member with payroll access sees everyone’s, and owners and admins see and edit them all. The hourly wage, employee number, national ID and employment agreement are shown only to the employee, to members with payroll access and to admins. The employer cost is shown only to owners and admins.

Owners and admins choose Edit details in Employee details:

  • Direct manager: who sees the member’s attendance, time and leave and approves them. One level only: a manager’s manager does not see that manager’s team.
  • Payroll access: whoever gets it sees every member’s attendance, leave and payroll, and closes and exports months. Not the clients’ time or costs.
  • Employee number: digits only, up to 9. It is the number in the payroll software, and the Michpal export needs it.
  • National ID, Employment start and Employment end. Vacation and sick balances build up from the employment start.

Choose Save.

  1. Owners and admins choose Edit contract. For an employee with no contract, choose Start from the default contract, and check every field before saving.
  2. Choose In force from: the day the terms apply from.
  3. Fill in Employment type and Position scope (%).
  4. Under Working days, set each day’s Standard hours (h:mm) and, if you like, Planned start and Planned end. Choose the Weekly rest day. You can set Holiday eve hours and a Fixed monthly standard; empty means worked out from the working days.
  5. Under Break policy, set whether Breaks are paid, and any Paid break cap per day.
  6. Under Overtime, set whether Overtime is paid, how many Hours at 125% past the day’s standard, the Weekly regular hours, and whether Rest day and holiday work from 150%.
  7. Under Pay and leave, fill in Hourly wage, Employer cost per hour, Vacation days per year and Sick days earned per month. You can add Special terms and attach the Employment agreement.
  8. Choose Save version.

The numbers in the contract are the office’s own terms for the calculation, not legal advice. Check them against the law and any agreement that applies to the employee.

Every save adds a new version from the date you chose, and earlier versions stay as they were. So past months keep their terms, and a month in which the contract changed is worked out day by day by the version in force on each day. A version that starts later is noted at the top of the contract. Saving again for the same date replaces that date’s version, and the replaced one stays in the Contract history with what changed and who saved it. View this version next to each history entry opens that version’s terms and its attached file, read-only.

Until an employee’s first contract is saved, their hours, balances and payroll data are worked out from the default contract, and their month is flagged Default contract for a look when the month is closed. Saving a first contract does not change the days before it is in force. See Close the month and export to Michpal.
