Design and edit a report for printing
Design and edit report opens the report in an editor where you change how it looks before you print it or save it as a PDF: logo, titles, columns, fonts, colors, header and footer, and notes. Amounts and calculations come from the report itself and cannot be changed in the editor. Only the look changes.
Where to find it
Link to section: Where to find itDesign and edit report sits next to the export options of every report you can print:
- Client reports: income, expenses, VAT, advances, and profit and loss. Open Download report and choose Design and edit report. When the tax adjustment report is shown on the profit and loss, choose whether to design the report with the tax adjustment or the profit and loss only. See Read and export financial reports.
- Capital comparison: in the Export menu at the top of the comparison. See Run a capital comparison.
- Annual report worksheets: Form 6111, business income, expense adjustments, securities, foreign income, rental income, carried losses (1344), depreciation (1342, also in the Fixed assets and depreciation register), and the refund request. The button sits next to the worksheet’s print button. See Annual report case.
The report’s usual PDF, without opening the editor, prints with the design the editor opens with: the report’s saved design, else your or the office’s default template, else the office’s design language. See Templates and The office’s design language. The Excel export does not depend on the design.
The editor
Link to section: The editorThe editor opens full screen. The report is shown in the middle on a page, as it will print. At the top:
- Undo and Redo. Ctrl+Z (Cmd+Z on a Mac) also undoes, and Ctrl+Y or Ctrl+Shift+Z redoes.
- Zoom out, Zoom in, and Fit to screen.
- Preview hides the editing marks and shows the report exactly as it will print. Back to editing returns to editing.
- Add element adds a heading, text, picture, and more to the page. See Add elements.
- Fit to one page switches Use of the page to One page. Clicking it again returns to Normal.
- Restore offers Back to the last saved design, Back to the template you started from, or back to the office’s design language.
- Save as template, Save, Print, and Export PDF.
On the side, choose between Quick edit and Advanced edit.
Quick edit
Link to section: Quick editThe editor opens in quick edit, which gathers what people change most:
- Template: picking a template or one of the Design languages (SmartBill, Classic, Modern, Minimal) replaces the current design. Undo brings it back. In Search templates, type part of a name to find a template.
- Report title.
- Logo: the logo size, or Add the office logo and Upload a logo when there is no logo yet. More logo options opens all of its settings.
- Columns: show, hide, and reorder each column. Reports with percentages also show Show percentages.
- Page: Use of the page. See Use of the page and orientation.
- Add a note: a highlighted box for a note, an explanation, or a disclaimer at the bottom of the report.
- Export PDF.
Advanced edit
Link to section: Advanced editAdvanced edit has seven categories:
- General design: font, text size, text color, accent color, and secondary text color.
- Logo and branding: the logo and other pictures, their size, placement (In the header, In the footer, or Free on the page), and showing them on every page or the first page only. A picture in the header or footer aligns to the start, center, end, or Full width.
- Titles and texts: the title, subtitle, period line, and client details. Under Report blocks you change the order of the blocks, hide blocks, and add texts between them.
- Tables and columns: the table design, and for each column its order, visibility, title, and relative width. See Table design.
- Header and footer: text, Background, Separating line, Least height, and Inner spacing. Add a banner picture uploads a picture that spans the whole band. The footer also has Page numbers and Production line (date and SmartBill).
- Page settings: Orientation, Use of the page, Smallest text size, and margins.
- Saved templates: pick a template, update the template you started from, and make it your default or the office default for this report.
Add elements
Link to section: Add elementsClick Add element at the top and choose:
- Heading, Text, Picture, or Office logo.
- Divider line between the report blocks, or Colored area, placed freely on the page and sitting behind the report as a background.
- Production date and Page number.
- Office details and Client details: text with fields that fill themselves.
- Signature: a Signature line with the name of the person who prepared the report, or a Signature picture you upload.
- Hidden report table: brings back a table you hid. It is available only when a table is hidden.
The new element is selected right away and its settings open on the side. For a line or colored area you change the Shape, Placement, colors, and Thickness.
Edit right on the page
Link to section: Edit right on the page- Click any part of the page, such as the title, client details, a column, the footer, a picture, a text, or a shape, and its settings open on the side. Back returns to the list.
- Drag a picture, text, or shape placed freely to move it, and drag its corner to resize it or change its width.
- Drag the logo out of the header to free it on the page.
- Click a column title to rename it, and drag the edge between two column titles to change the width.
- The Delete key removes the picture, text, or shape you selected. Esc clears the selection.
Rename or hide report headings
Link to section: Rename or hide report headingsYou can click any heading of the report: a block heading, a group title inside a table, or a summary card title. In Heading text type a new name, turn off Show on the report to hide the heading, and Back to the original wording brings back the report’s own name.
Table design
Link to section: Table designUnder Tables and columns, in Table design:
- Style: Classic accounting, Modern, Bold headings, Lines, Grid, Striped, or Minimal.
- Text size, Row spacing, Header background, and Header text.
- Table background, Stripe color, the Lines color, and Line thickness.
- Highlight totals and subtotals: bold rows with rules above them, as in financial statements. You can choose the Subtotal row background, Total and net result row background, and Total and net result row text.
- Loss color and Show group titles.
Click a column on the page to design it: Alignment, Font, and Bold. A column of numbers also has Number format:
- Decimal places and Thousands separator.
- Show ₪ in a column of amounts.
- Negative numbers as -100 or (100), and Negative numbers in the loss color.
- Back to the report’s format undoes the number changes. Until you change something, shekel amounts print without ₪, with agorot as Agorot in this table says. Other numbers print as the report formats them.
In Agorot in this table (in the table’s settings, next to its column list), choose per table: Automatic shows agorot only when the table has an amount with agorot, Round to shekels rounds every amount, and Show agorot always shows two digits. A column whose numbers you formatted yourself keeps its own format.
Use of the page and orientation
Link to section: Use of the page and orientationIn Page settings (and under Page in quick edit), choose Use of the page:
- Normal: the design stays as is, over as many pages as needed.
- Economical: tighter margins and spacing, so fewer pages.
- One page: shrinks the report so it prints on one page, but never below the Smallest text size. If the report does not fit one page at a readable size, it stays on several pages and a notice says so.
Under Orientation, choose By the report, Portrait, or Landscape. With By the report, the page turns to landscape by itself when a table does not fit in portrait.
When a table is too wide for the page, its text shrinks down to the Smallest text size, and the names column keeps a readable width. In a monthly profit and loss with percentages, when the percentages do not fit beside the amounts, each percentage prints under its amount, as on screen.
Fields that fill themselves
Link to section: Fields that fill themselvesNext to the titles, texts, header, and footer there is a {} button (Insert a field that fills itself). It adds a field that shows the right value in each report: Client name, Client tax ID, Report title, Report year, Report period, Production date, Office name, Prepared by, Office tax ID, Office address, Office phone, Office email, and Office website. That way one template fits every client.
The office address, phone, email and website come from Office settings > General > Firm profile. A field with no value stays empty on the report: fill it in there, or type the detail right in the text.
Logo and pictures
Link to section: Logo and picturesAdd the office logo uses the office logo from Settings → General. See Office logo. If the office has no logo yet, you can upload a logo or picture right in the editor: PNG, JPG, SVG, WebP, or GIF, up to 900 KB. An SVG logo becomes a sharp picture on upload that prints well even across the page.
Notices in the editor
Link to section: Notices in the editorThe editor warns you when something will not print well:
- A table is too wide for the page: hide columns or turn the page to landscape.
- Rows or texts taller than a whole page are cut: shorten them or reduce the text size.
- The header, footer and margins leave no room for the report: make them smaller.
- A picture or text placed freely covers part of the report: drag it to an empty spot or put it in the header.
- The report does not fit one page or is shrunk a lot and may be hard to read: hide columns or blocks, or choose Normal or Economical under Use of the page.
Print and PDF
Link to section: Print and PDF- Check the report in Preview. What you see there is exactly what prints.
- Click Export PDF. The browser’s print window opens.
- Choose Save as PDF as the printer and save. To print on paper, click Print and choose a printer.
The page is A4. Rows never split between pages, a table that continues on the next page repeats its column titles, and page numbers appear in the footer.
Check the client name, period, and totals in the file before you send it.
Saving and drafts
Link to section: Saving and drafts- Unsaved edits are kept automatically as a draft, for you only. When you open the editor for the same report again, they come back with a notice saying when they were made. Discard them drops them and returns to the saved design.
- Save saves the design of this report: the same client and the same period (or tax year). Everyone who opens this report in the editor gets the saved design.
- A design you saved does not change when the template you started from is later changed or deleted.
- A member with view access to the client can design and export the report, but not save its design.
Templates
Link to section: TemplatesA template keeps a design so no one has to design each report from scratch.
- Office templates are shared by everyone in the office. My templates are visible only to you.
- A template applies to one report or to All reports. With a template for all reports, the logo, fonts, colors, header, and footer carry over, and the columns stay each report’s own.
- Each report type can have an office default and a personal default. The editor opens with the report’s saved design. Without one, it opens with your default; without that, with the office default; and if there is none, with the office’s design language. A default for the report type wins over a default for all reports.
Save a template from a report
Link to section: Save a template from a report- In the editor, click Save as template.
- Enter the Template name. Members allowed to change office templates also choose For whom: Office templates or My templates.
- Under Applies to, choose this report or All reports.
- Use it by default is ticked in advance, so the editor opens with it next time (for the whole office with an office template, for you only with a personal one). Click Save template.
To choose columns for a particular report, design it from that report and save it as a template from there.
The office’s design language
Link to section: The office’s design languageIn Settings → Report templates, under The office’s design language, choose the look every report starts from when it has no saved design or default template, the usual PDF included:
- SmartBill: navy accent, a shaded client panel and clear totals.
- Classic: a serif face, a centred heading and ruled tables without fills, like a traditional statement.
- Modern: table headings on a deep teal and a teal band along the foot of the page. The logo stays on white, so a dark logo shows well too.
- Minimal: no fills or boxes, hairlines and generous whitespace.
Each language is shown on an example report. Clicking a language picks it for the whole office right away. Reports with a saved design and existing templates do not change. Whoever may change office templates chooses the language.
Manage templates in settings
Link to section: Manage templates in settingsOpen Settings → Report templates. The page lists Office templates and My templates.
- Click New template, name the template, and choose Which reports: All reports or Selected reports. Members allowed to change office templates also choose whether it is an office or a personal template.
- Create and design opens the editor on an example report with made-up figures. Design it and click Save template.
- On each template, Edit design opens it in the editor again. More actions holds Name and reports, Copy to my templates, Copy to office templates, setting it as the default for each report it applies to (or Stop being the default), and Delete template.
Deleting a template does not change reports already designed with it. It is simply no longer offered or used as a default.
Who can change office templates
Link to section: Who can change office templatesBy default only owners and admins create, edit, and delete office templates. Owners and admins can change this on the Report templates page, under Who can change office templates: Owners and admins or Everyone in the office. Everyone can always use office templates and keep templates of their own.
When something does not work
Link to section: When something does not work- Save is unavailable: you have view-only access to the client. You can keep designing and exporting, or ask the office owner for wider access.
- Edit design on an office template is unavailable, with the notice Only office admins can change office templates: use the template as it is, or click Copy to my templates and design the copy.
- The picture does not upload: use a PNG, JPG, SVG, WebP, or GIF file under 900 KB.
- The print window could not open: try again. If it keeps happening, reload the page. Your unsaved edits wait for you as a draft.
