Set up a repeatable workflow

An automation carries out a sequence when its starting condition is met. Ask the office’s automation administrator to configure it if the editor is unfamiliar.

  1. Open Automations and choose New automation.
  2. Give it a clear name describing the job.
  3. Set the trigger: what starts the workflow.
  4. Add conditions, actions, waits, or an approval step as needed.
  5. Save the draft and resolve validation issues.
  6. Review what the test action can do before running it; use a designated test record.
  7. Publish only after checking the intended actions and recipients.

Open the automation’s runs to check whether it completed or failed. Review pending approvals and approve or reject them after checking the proposed action.

Use Pause when the workflow should stop starting new work. Check existing runs separately; do not assume pausing reverses actions already performed.

Keep the workflow small enough that another colleague can explain what it does.
