Arranging lists and saved views

The list stays the way you left it

Link to section: The list stays the way you left it

Office remembers your search, filters and sorting in the work lists: Clients, Contacts, Team, Opportunities, Files, Information collection, Client reminders, Documents to sign, Reports and My Reports, the report lists (Capital declarations, Annual reports, Capital comparisons, Tax differences and VAT reconciliation), and each client’s Expenses and Income. In tables with a Columns icon (the report lists, expenses, income, Clients, Contacts, Team and Opportunities in table view) it also remembers the column order and which columns show, and in tables whose columns can be stretched, their widths. In Tasks, the arrangement, filters and search you chose are kept too (in Office tasks also whether open or finished tasks show), also on another computer. When you open a row and come back, move to another screen or return tomorrow, the list opens the way you left it.

The arrangement is personal: each worker sees their own, and it follows you to another computer. On a single client’s lists (its expenses, income, files and reminders, and its bookkeeping lists: Banks and cards, Document posting, Journal entries, Batches, Customers and vendors, Sort codes, Transaction types and Expense classifications) the filters are kept for each client separately, and the column order is one for all clients. Opening a list from a link that asks for other filters shows that link’s filters. A remembered filter always shows in the filter bar; to start over, click Clear filters.

  • Move a column: in the report lists, expenses and income, hover over the column heading, grab the handle that appears at the start of the heading and drag it elsewhere. A line marks where the column will land. In Clients, Contacts, Team and Opportunities, change the order in the Columns menu.
  • Show, hide and order from a menu: click the Columns icon at the end of the heading row. Check or uncheck columns, and drag a row by its handle to change the order.
  • Width: in tables whose columns can be stretched, drag the edge of the column heading.
  • Start over: in the Columns menu choose Restore the original layout.

Pinned columns, like the selection box at the start of each row, stay in place. A new column, such as a field the office added, appears in its usual place.

A saved view is a name for a set of filters and sorting, so you can come back to it in one click. For example: “My declarations due next month”.

  1. Filter and sort the list the way you want.
  2. Click Saved views and choose Save current filters as a view….
  3. Name the view and choose Save.

Documents to sign, My Reports and the task lists have only a few filters, so they are remembered without saved views.

To return to a view, click Saved views and choose its name. When the list shows exactly a saved view, its name appears on the button.

In Expenses and Income a saved view works for any client, so it leaves out the vendors, classifications or customers you filtered by. The same goes for Document posting, which leaves out the customers and vendors, and Banks and cards, which leaves out the bank or card account. In Expenses and Income, Saved views and Columns are icons next to the buttons at the top of the list.

Under Manage views… you can Rename, Update to current filters or Delete. Views are personal and only you see them. A view does not change the column order, which stays one per list.
