Sign a document from the office

The office sent you a link to a document that is waiting for your signature. You sign it on your phone or computer, with nothing to print, scan or install.

If you got a general link the office shared, not a link of your own, the page first asks for your full name, ID or company number and email address, and sends a 6-digit code to that address. Once you type the code, you go on exactly as here.

If the office locked the document, the page first asks for a 6-digit Access code. You get the code from the office apart from the link, for example by phone. If the code does not work, was already used, or the link was blocked after a few tries, ask the office for a new code.

  • The link is personal. Do not pass it on to anyone else.
  • You do not need a user name or a password.
  • Read the document. If something is wrong, do not sign: see If you do not want to sign.
  1. Open the link. The office’s name and the document’s name are at the top, and if the office wrote you a message, it appears above the document.
  2. Click Start. The screen jumps to the first field you need to fill in and marks it.
  3. Click the marked field:
    • Sign here: draw your signature with your finger or the mouse and click Use it. Clear erases it so you can draw again.
    • A text field: type what is asked for, such as an ID number, and click Done.
    • A checkbox: one click ticks it, another clears it.
  4. Click Next field until the bottom says Everything is filled in. The line at the bottom shows how many fields you filled in out of how many.
  5. Click Finish and sign.

You draw your signature once. If the document asks for it in several places, clicking each one places the same signature there. Clicking a signature you already placed lets you draw it again.

Initials work the same way: you draw them once and click each place that asks for them. If you placed initials in a field that is not required and did not mean to, click that field again and choose Leave this field empty.

A Date field fills itself with today’s date. Grey fields belong to other signers, and you do not need to touch them. A field marked with an asterisk is required.

A confirmation says your signature was received. The office sees it on the document right away.

  • If you are the only signer, or the last one, the signed copy is prepared on the spot. It usually takes a few seconds, and the download button appears on the same page when it is ready. If the page says the copy could not be prepared, ask the office to send it to you.
  • If there are more signers, the signed copy will be waiting for you at the same link once everyone has signed.

The signed copy holds the document with what you filled in, ending with an electronic signing certificate: who signed, when, and where the link was sent. When the copy carries a digital seal, its certificate page says so, and a PDF reader shows whether the file was changed after it was prepared. Keep it.

Open the menu in the top corner and choose Decline to sign. Write in a few words why, and click Decline. The office receives your reason, and the document closes for every signer. If only a detail needs fixing, write what to fix and the office will send a corrected document.

A document you reached through a general link has no decline option: if you do not want to sign, just close the page.
